Chief of Staff - HEMPHILL EXCLUSIVE

Lead a small team while providing administrative support and a wide variety of responsibilities and projects for the CEO, CFO, and General Counsel for this highly respected, and admired mid-sized growth company.  In this position, you will be the point person making sure the executive office is running smooth, highly productive, and efficient.

Here is an outline of duties and responsibilities:

  • 40% of your time will be serving as Executive Assistant to the CEO, CFO, and General Counsel of this impressive corporation.  Assist with e-mail management, calendar, meeting scheduling, travel, expense reports, proofreading and a broad scope of administrative duties.

 

  • Participate in executive meetings to ensure decisions, action items, and follow up deliverables are documented, then follow up with stakeholders to ensure all are on track to achieve target outcomes.

 

  • Gather and create the deck then distribute to CEO for final review, proofread, then distribute to executive leadership team and the board of directors prior to meetings.

 

  • Ensure contracts are prepared, reviewed, negotiated, signed off on, executed, and filed.

 

  • Trouble shoot then take ownership for technology issues from the CEO, CFO, and General Counsel then team up with the technology team or vendor to ensure a solution is provided.

 

  • Review and abstract contracts and important documents while documenting key points, deliverables, and responsibilities then set alerts, dates, and action items to ensure the company does not overlook key responsibilities.  Use SharePoint and other document management software while setting permissions and access.   

 

  • Assist in the on-boarding of new leaders, clients, vendors, investors, and board members.

 

  • Draft internal and external communication for the CEO, CFO, and General Counsel. 

 

  • Lead a small team while taking ownership for the following:
    • Prepare meeting agendas and lead some meetings.
    • Work closely with and manage some vendors
    • Organize board meetings, travel, and small events for board members.  
    • Manage projects while leveraging cloud based project management software.
    • Creating permissions for important documents, folders and documents while protecting confidential and sensitive information.
    • Creating naming permissions, so all on the team develop good habits which improve efficiency for all.
    • Draft, refine and maintain policies and procedures while ensuring all are up to date and current.
    • Proofread important documents and communication.   
    • Manage events to include the company Christmas Party, and fun employee outings, recognition parties etc.

In the early years, Susie played an important role at Hemphill while focused on administrative support, special projects, and event planning on a part-time basis when her full time focus was caring for four very active children (Camie, Austin, Miles & Carmel).  When our children headed off to college and into the work force, Susie shifted her focus to a full time Recruiting Manager position.  

    Susie is an active member of Westside Church, Executive Women International, and she played a leadership role while launching spousal forum groups within The Entrepreneurs Organization of Nebraska.  Susie is an outgoing and ambitious individual who loves engaging with our family and friends.  Susie loves cooking with and for our family, playing games, golfing, spending quality time in the Old Market or Haymarket, vacationing, hiking mountains, canyons, or rain forests, swimming in the ocean, skiing, and cheering for the Husker Football, Volleyball or Baseball teams!  You might find Susie exercising at the gym, working in the yard, gardening, or playing with our two shih tzu puppies.
